What rooms can you book?

At our city campus, the Students’ Union has a wide range of bookable spaces for students and societies to use. Each room also has its own calendar so remember to check what times and dates are available for you to book. We need a minimum of 48 hours’ notice to book a room so remember to plan ahead and book in advance. However, our popular rooms are often booked weeks in advance so the more notice you give the more chance you will have of securing the location you want. Take a look at our rooms below:

Available Spaces

Training Room 1

Description: This is a traditional Training/Seminar room furnished in a boardroom style.

Capacity: It can seat up to 12 people.

Facilities: There are full AV facilities – this means there is a computer in the room with a large screen on the wall. You simply use your NTU log in or you can bring your own laptop and connect this to the screen.

Directions: Upper floor- head up the stairs from the revolving door entrance, at the top turn left, through the wooden doors and it is the second door on the left.

Ideal for: Training sessions, presentations, workshops, large meetings.

Remember: Some walls are made of glass and you can see into the Foyer below.

Availability:

 

Training Room 2

Description: This is a smaller Training/seminar room furnished in a boardroom style.

Capacity: It can seat up to 8 people.

Facilities: There are no AV facilities but there are power sources to plug in a laptop.

Directions: Upper floor- head up the stairs from the revolving door entrance, at the top turn left, through the wooden doors and it is the first door on the left.

Ideal for: Small meetings and discussions.

Remember: Some walls are made of glass.

Availability:

 

Training Rooms (1 & 2) Combined

Description: Both Training Room 1 and 2 are joined by a movable wall and can be used as one large room.

Capacity: As one large room, it can seat up to 20 people.

Facilities: There are full AV facilities.

Directions: Upper floor- head up the stairs from the revolving door entrance, at the top turn left, through the wooden doors and you can use either the first door or second door on the left.

Ideal for: Large meetings, conferences, training sessions, presentations.

Remember: Some walls are made of glass. This is one of our most popular rooms so please try to book well in advance.

Availability: Training Room 1 and 2 have separate calendars so please scroll up to check the availability of these spaces. Remember to check that both Training Rooms are free in the calendars before booking the combined room.

 

Activities HQ – Think Tank

Description: This is a fun and informal space set in the pointed end of the building. It has two corner sofas and a couple of chairs with a low coffee table. Furniture can be moved depending on your requirements.

Capacity: It can seat between 15-20 depending on the layout of the room.

Facilities: There are power sources to plug in a laptop, a whiteboard and a projector can be borrowed but must be requested in advance.

Directions: Ground Floor – As you enter the revolving doors, turn left into the Activities HQ Hub. Head straight down to the end and through the door is the Think Tank.

Ideal for: informal meetings, training sessions, discussions.

Remember: All walls are made of glass.

Activities HQ – Media Suite & Radio Studio – For Societies Only

Description: The Media Suite has 3 computers equipped with audio, video and graphic design editing software. The Radio Studio contains essential equipment to allow users to broadcast live via the web.

Capacity: 3 computers in the Media Suite and up to 5 people in the Radio Studio.

Directions: Ground Floor – As you enter the revolving doors, turn left into the Activities HQ Hub. Head straight down to the end, through the glass door and it is the door on the right.

Ideal for: Media Societies, Societies that want to create promotional materials.

Remember: This area is for Committee Members only. Any Society Member that would like to use the space must be accompanied by a Committee Member.

Activities HQ – Meeting Table

Description: This is a large table in an open, informal space separated by a wall divider.

Capacity: It can seat up to 6 people.

Facilities: There are no AV facilities but there are power sources to plug in a laptop.

Directions: Ground Floor – As you enter the revolving doors, turn left into the Activities HQ Hub. Turn right and it is the large table in front of you.

Ideal for: informal meetings, committee meetings.

Remember: This is not a room with a door but a meeting space. The space can only be booked out for a maximum of 2 hours.

Executive Office – Meeting Room 1

Description: This is a small, private meeting room.

Capacity: It can seat up to 4 people.

Facilities: There is a screen on the wall that can connect to a laptop.

Directions: From the revolving door entrance head up the stairs and turn right at the top, go through the Executive Office doors and turn right. It is the first door on the left.

Ideal for: small or confidential meetings, interviews, presentations.

Remember: This room is located in the office where your Exec Officers work.

Availability:

 

Executive Office – Meeting Room 2

Description: This is a small, private meeting room.

Capacity: It can seat up to 4 people.

Facilities: There is a screen on the wall that can connect to a laptop.

Directions: From the revolving door entrance head up the stairs and turn right at the top, go through the Executive Office doors and turn right. It is the second door on the left.

Ideal for: small or confidential meetings, interviews, presentations.

Remember: This room is located in the office where your Exec Officers work.

Mezz Lounge – For Societies Only

Description: A large, relaxed and comfy sofa area located on the upper floor above Costa Coffee.

Capacity: It can seat around 50 people on a selection of sofas, chairs and coffee tables, with up to 100 people standing.

Facilities: An eclectic mix of furniture that can be rearranged to suit requirements. There are various power sources for laptops and toilets are located at the far end of the space.

Directions: Upper Floor - either: enter through the revolving doors and head up the stairs, turn left at the top, through the wooden doors and into the space. Alternatively, you can head up the spiral staircase from Costa Coffee.

Ideal for: Society meeting points for large or small groups. Quiet or relaxed society activities.

Remember: This space can be booked out by Societies only, most suitably in the evenings, as this space is open to all NTU students during the daytime.

Availability:

 

The Retreat – For Societies Only

Description:  A small, relaxed and quiet sofa area located on the lower ground floor underneath Costa Coffee.

Capacity: It can seat around 25-30 people on a selection of sofas and coffee tables with up to 50 people standing.

Facilities: A more sophisticated area with black leather sofas and reading lamps, as well as a number of power sources for laptops and tv screens.

Directions: Lower Ground Floor. Head down the spiral staircase from the Costa Coffee area.

Ideal for: Small society meeting points or quiet society activities.

Remember: This space can be booked out by Societies only, most suitably in the evenings, as this space is open to all NTU students during the daytime.

Now you’ve chosen what space you want to use, how do you book it?

Well, you can fill in this simple form below and you will receive a booking confirmation and a reminder of how to access your room. Remember to fill in your contact details so that we can let you know if there is a problem and to tell us if you have any requirements such as catering or disability access. If you are having difficulties with the form or would just like to know some more information then you can email your enquiry at bookablespaces@su.ntu.ac.uk

 

You will now receive an email receipt confirming your booking request has been sent. This does not mean your room has been booked. You will receive a separate email confirming the booking of the space from our Events Co-ordinator. If the time or date you have requested is unavailable, or we need more information, we will contact you before confirming the booking.

How do I book a room for my Society?

Once you’ve chosen what space you would like to use, head over to the Committee’s Hub under the Societies homepage to fill out a Society Booking Request Form, or click here.

Only a committee member can book a space on behalf of their society. Remember to fill in your contact details in case the space is not available when you want it, and make sure we are aware of all of your requirements.
