Glossary of Terms

This is the Annual General Meeting. This takes place before the elections in Term 2. During the meeting the committee will look back on the society’s year so far, finances and vote on any constitution changes (e.g. new committee positions). You will have to fill in your society election registration form once you have completed your AGM.

This is an Emergency General Meeting. This will take place as and when it needs to. EGM’s are typically used to fill any empty committee positions if someone decided to step down from their role part way through the year.

The committee is the heart of any society. Committee members are voted in by members of the society who have paid their membership fee. The committee has three core positions. These are President, Vice President and one other role (e.g. Secretary). Additional committee roles can be added by including the roles in the society’s constitution.

The Constitution is completed by the society President. There are three sections 1. Society Details (membership fees, aims & objectives etc.) 2. Committee Details (committee positions, current committee members etc.) 3. Terms of Agreement (terms set out by the Students' Union that all societies must adhere to). This is completed every summer ready for the next year.

The Development Plan is filled out at the end of each academic year by the newly elected committee members. In Term 1, you will go through your development plan with a member of the Opportunities team. For more information on development plans check out the Democracy section of the committee hub.

The executive team (better known as the exec) are the officers elected to represent students across NTU. They are made up of the President and five Vice-Presidents. There are also part-time officers for Brackenhurst, Confetti and Mansfield campuses.

This holds NTSU funding which can be applied for through a bidding process. Bids for this money must have a specific purpose and it can only be used for that purpose.

This is the account that will hold money generated through the society. This could be from membership payments, sponsorship, fundraising etc. Money in this account can be spent on activities or items the committee feel will benefit the members.

Opportunities covers all things societies, communities, RAG and student-led volunteering. The Opportunities team sit in the downstairs offices near the welcome desk in the City Students' Union building. They are also in the reception next to the shop at Clifton and in the office opposite the Orangery at Brackenhurst. They are always happy to help. This is the main democratic forum for societies. It is a chance for societies to get updates from NTSU, drive change and discuss all things opportunities. Every society is required to send a representative.

This was a role that previously existed with NTSU. It has since developed into VP Opportunities.

This is the elected executive member who represents societies, student-led volunteering, RAG and communities within the Student Union.

RAG stands for Raising and Giving. It is the student led fundraising arm of NTSU. Each year a RAG committee is picked and they decide the nominated charities they want to spend the year supporting.

Communities are groups that exist with an end goal in mind. This end goal will not extend past the end of the students running the communities time at NTU. Eg. Wanting to run a one off event to raise awareness of a particular issue.

These projects look just like any volunteering program you would expect to see in wider society. The difference here is they are completely run by students and not, by any charity.

These are groups of students who share a common interest or identity. They run regular events, trips and activities. Each society will charge a membership to join for the year and are run by elected committee members.

These are run by NTU Sport and not NTSU.

Committee FAQs

We’re sorry to hear that you don’t want to be a member of your society’s committee anymore. Before you leave consider speaking to one of our Opportunities team to see if they can offer you any additional support that could help you with your role. However, if you do decide to resign you will need to let the rest of your committee know so they can fill your position. You will need to email your resignation yourself to opportunities@su.ntu.ac.uk.

Speak to the committee member in question:

People don’t always agree with each other but working through conflict is a great skill to gain. Take this opportunity to talk the problem through with them. Try and do this in a private setting. It isn’t necessary to involve the whole society. Don’t be aggressive and try and see the problem from their point of view. Also try and offer positive solutions rather than just making them feel bad.

Speak to your President

If you have tried speaking to the member in question and you don’t feel they have taken your feedback on board you can speak with your president. Your President has been elected by the members of the society to lead. This also means dealing with problems within the committee. They should listen to your concerns and deal with them appropriately.

Speak to your VP Opportunities

Should you feel uncomfortable speaking with the President of your society or you are a President yourself and you are unsure how to proceed book some time in with your VP Opportunities. They will be able to offer you impartial advice on how to proceed.

No. All NTSU societies must charge between £3 and £20 for the years membership. You must not change the cost of your membership part way through the academic year, if you decide you would like to change your membership price, you should only do this at the end of the year, ready for the next one. This is so everyone has paid the same. Societies keep 100% of this money.

Anyone in the Opportunities team will be more than happy to help you at any time. 

However, you should see in your society training which of our Opportunities Coordinators is assigned to your category of society.

NTSU staff aim to respond to all emails within 3 working days. This can be extended around busy times such as Freshers, Elections and Committee Training. It can also be extended during holidays as staff take annual leave. Staff also do not check work-related emails outside of office hours.

You must complete an activity booking form to book a university or NTSU space. This must be completed at least 10 working days before you want the room for university rooms, 20 working days before if you have an external speaker or a month before if you want to use NTSU venue space. We currently have reduced access to the venue spaces such as The Level so please bear in mind that you may be asked to consider external venues.

No. Money in the society account belongs to the whole society. This means it should never be spent for the benefit of only a select few members. You are more than welcome to have a different design to members, but you must pay the same as everyone else.

This is a tricky question to answer due to the number of factors that need to be taken into account. If you submit an activity booking form as early as possible (minimum 1 month) Kaine will set up a meeting with you to discuss the availability and potential costs.

Your society must have existed for 6 months and every member of your committee must have completed all mandatory training to be able to get Ocean tickets.  Once you have met these criteria you can follow the instructions in this link. This can also be found in the events section of the committee hub.

You can't. We will send you your opening balance at the start of the year and it will be the responsibility of your Vice President to keep track of how much your society has in its account. If you lose track or want to double-check you have the correct number you can email opportunities@su.ntu.ac.uk as we will look into it for you. We have a 'semi-live' balance tracker which you can view here by selecting the 'live balance' drop-down but, if you would like a more accurate figure it would be best to contact an opportunities coordinator.
