Societies To Do List

Below is a list of tasks that need to be completed for your society to continue into the next academic year.

This applies to all societies, including those ratified during the past year who are continuing.

Online training is available now! This training will cover everything you need to know as a society committee member and completing it is mandatory.

There two options for the training course, depending on whether you are a new or returning committee member. You only need to complete one.

You can access the training through the link below or in the Training section of the Committee Hub.

This officially registers your society by outlining your committee details and roles, your aims and objectives and your annual risk assessment. This is due on Friday 27th May. Your annual risk assessment is really important for ensuring your society's events are safe for members. Details on how to complete a risk assessment will be included in your online training. 

Your Development Plan outlines your intended activities for the year, including regular activities and one-off events. You should receive a completed Plan during the handover from the outgoing committee. They will be asked to complete this by the end of Term 3 (Friday 10th June).

Please edit this plan and send it to opportunities@su.ntu.ac.uk, we will save it directly in our SharePoint. This plan will then be used in your first Development Meeting with an Opportunities Coordinator in the new academic year. You will need to complete this by Friday 15th July.

All societies need to complete an inventory form for their society, whether they have items or not. This form will help you and us manage your items and identify where they are located.

Please complete this form even if you don't have any items, as we need to know this.

The Activities Grant is the main funding opportunity for your society. You can apply for up to £1000 for Term 1 and £1000 for Term 2/3, and can only be spent on items/events you have been allocated money for. Any money not spent by the end of the term will be withdrawn from the Grant Account.

If you want to apply for funding and would like feedback on your application, please submit before Friday 24th June 2022 and select that you want feedback. The final deadline for applications is Friday 29th July 2022, after which date we cannot accept any more applications. If you have issues with this deadline, please contact us beforehand.

You can find the application form, more information on the Activities Grant and the Funding & Finance Guidance document on the Finance section on the Committee Hub. Please make sure you read this information and the information included in the training before making your application to make it as strong as possible.

The application for Term 2/3 is live if you want to complete that also, but these applications will not be considered until the final deadline on Tuesday 6th December 2022.

If you want to promote your society at the Freshers’ Fair, you need to complete your request by 1st August 2022 to give your society a chance of getting a space. We encourage societies to attend as many fairs as they can and reach out to as many students as possible. Freshers Fair Request Form.

If you are holding an event during Welcome Week (Friday 16th September- Friday 30th September) please submit an activity booking form with the relevant information, no later than Friday 12th August. This will ensure that your event gets listed on the NTU Welcome Week website which will attract lots of potential new members to join your society!

As well as emails from Opportunities@su.ntu.ac.uk, our main way to communicate important updates and opportunities to you is via our Committee Teams Channel. We would recommend joining so that you do not miss out on anything that could benefit your members, you will be automatically added after you have completed your training but if you notice that you are not, please contact the opportunities team.
