AGM EGM MEETING NOTES – 15TH MARCH 2022

Starting at 6:15

Apologies made for committee/nominees not attending

(All committee present)

Brief explanation of how the meeting will run, AGM followed by EGM

Matters arising from the previous AGM - No pending/past matters to discuss.

Cocktail Committee biggest achievements:

  • Becoming the biggest society Trent has ever seen
  • Being a full female led committee
  • Numerous events and training sessions
  • Having the best year ever!
  • Holding numerous events and sending weekly emails
  • Having sober and drinking events
  • Creating a community between people who love cocktails/mocktails

Committee personal achievements:

President – April

  • Became active in the committee in January after semester abroad
  • Completed health and safety forms during summer 2021
  • Negotiated deals with bars and restaurants for membership cards
  • Helped RAD week training session in SU
  • Hosted an Ocean pres
  • Recently starting planning agendas for weekly cocktail meetings, Mondays on teams.

VPs – Megan and Kate

  • Provides support and leadership to other committee members during bilateral part of academic year
  • Supported president in adjustment to new role since coming back
  • General support to other committee members – going above and beyond their role

Events Officer – Tamzin

  • Two cocktails boat balls – quick sell out!
  • Raising over £200 for charity at Girls Night In
  • Welcomed 200+ people at the first event (welcome brunch)

Social Secretary – Rebekah

  • Organising ocean pres and bar crawl every week, keeping everyone involves
  • Pub golf
  • Getting involved with other societies and the SU
  • Enjoyed seeing the committee grow and make new friends

Social and Well-being Officer – Chloe

  • Ensure all members are okay, happy and there to resolve any issues
  • Distribute ocean tickets
  • Assist in hosting ocean pres and planning
  • Holding sober events
  • Assisting with other events

Treasurer – Kate

  • Managed and controls large budget and expenditure for academic year
  • Helped to subsidise costs to make it affordable for members £15 boat ball!
  • Liaising with bars to maximise member experience

Secretary – Maria and Kate

  • Sending weekly emails to keep members informed and up to date of all events, notices and rules etc
  • Responding to everyone quicky
  • Making sure members feel heard!
  • Keeping minutes of all meetings
  • Explaining how members can get involved and explaining processes

Marketing Officer – Millie

  • Creating social media posts to keep members informed of all things and ocean ticket posts
  • Creating posters and flyers to attract all our members at freshers fairs
  • Assisting in all events throughout the year
  • Negotiating with bars

Training Officers – Isabelle and Caitlin

  • Full restock of all equipment for training sessions
  • Keeping an upto-date inventory
  • Organising masterclasses with das kino and alchemist
  • Conducting extensive planning for every training session for 30+ members at least every other week
  • Ran a mocktail stand for Girls Night In
  • RAD week business cocktail event
  • Collaborating with other societies for masterclasses, e.g. chemistry

EGM

(All manifestos and email contacts available on slides, manifestos also accessible via nominations on NTSU website) – Kate Rowlson presented those who did not attend, those present read their own manifestos to the audience.

VP – Sam Fendley (absent), Tamzin Rawlins (present)

Training Officer – Isabelle Dickinson (present), Anika Kochar (present), Gabriella Zollo (present), Julia Walter (present)

Social Sec – Georgia Woodruff (present), Darcy Thatcher (absent)

Events Officer – Hollie Worley (absent)

Social and Well-being – Olivia Duncalf (absent), Becky Chambers (absent)

Promotions and Marketing Officer – Lori McCready (absent), Isobelle Hill (absent)

(excluded from slides) – members can suggest places/events via email/Instagram message, were very open to new ideas as our role is to make members happy and ensure they have a good time.

Q&A Opportunity

  • Emphasising the amount of support that is available from the SU and ourselves as the current committee
  • Members will start at 0, may be another opportunity for another election if needed
  • Shared roles, all work as a team, communicate, approve emails and posts etc
  • VOTE!!!!
